Medical Office ManagerFounded in 1966, Friendship offers diverse senior living accommodations, award-winning care, new and innovative services, as well as specialized rehab and therapy, to over 1,500 residents and patients each day. With four campuses, the earliest dating back to 1919, Friendship has grown to offer the full continuum of care, including independent living, assisted living, home care, outpatient therapy, inpatient rehab, long-term care and Alzheimer's and memory care. As a non-profit, Friendship provides a caring community to serve a wide-range of residents including those with limited financial means.The Medical Office Manager is responsible for the performance and supervision of both day-to-day administrative/reception duties.Roles & Responsibilities:Assists with maintaining support staff work schedule, assisting with Human Resource requirementsFront desk receptionGreets patients, completion of registration forms, and gives instructionsFiles and maintains medical and financial recordsPrepares and types correspondenceProcesses mailUses communication skills with appropriate medical terminologyFollows appropriate legal and ethical professional conductFollows medical practice and OSHA safety rules and procedures while on assignmentFollows and upholds HIPAA regulationsEnsure all charts are prepared at least a week in advance including obtaining medical records for patients prior to an office visitEnsures incoming patient phone calls are answered in a timely manner and maintains reasonable wait timesMaintains patient confidentiality which complies with all HIPAA regulationsManages monthly physician schedulesDirects and/or secures the services and products of outside sources such as medical supplies, equipment, office furnishingsOversees patient care tasks which could include: clinical assessments, acting as a patient liaison, acting as an advocate, and coordination with the necessary staff and resources to ensure excellent patient outcomesPerforms other position-related duties as assignedAssists VP of Healthcare Operations and Friendship with growth analysis, introducing and examining opportunities for growth of clinic with external partnerships.Essential Functions:Ability to make independent decisions within the scope of license or certification when circumstances warrant such actionComply with all local, state, federal, and facility policies and proceduresWorks with physicians and staff to implement clinic goals and objectives in support of the strategic planOversees the day-to-day operations of the office including but not limited to the following: staff management, scheduling, facilities, billingQualifications:Experience in the medical field & knowledge of medical terminology, office management or leadershipKnowledge of accounting, data and administrative processes and principlesAbility to handle medical records discreetly.Time-management skills.Ability to multi-task and perform well in stressful situations.Exceptional people skills for liaising with patients, healthcare providers, specialists, clinic staff and the public.Excellent written and verbal communication skills.Exceptional organizational skills to ensure that quality services are provided.Competency with computer-based healthcare administration systems.Education & Experience:High School Diploma or equivalent requiredTwo years or more administrative/clinical experience in a medical practice settingBenefits for Full Time Positions:401(k) retirement plan along with employer matchHealth InsuranceDental InsuranceVision InsuranceFlexible Spending AccountPaid Time OffEmployee Assistance ProgramEducation AssistanceCompany Paid Life InsuranceVoluntary insurance (additional life insurance, accident insurance, critical illness, short term disability)Friendship values diversity.
